1. Booking and Payments

1.1. All bookings are subject to availability and confirmation.

1.2. A deposit or full payment may be required at the time of booking, as specified for each travel package.
1.3. Prices are subject to change without prior notice due to currency fluctuations, supplier price changes, or other unforeseen circumstances.
1.4. Final payment must be made within the specified deadline to secure your booking. Failure to do so may result in cancellation.

2. Cancellations and Refunds

2.1. Cancellation policies vary by package and service providers. Please refer to specific package details for refund eligibility.

2.2. Any cancellation must be communicated in writing.
2.3. Refunds, if applicable, will be processed based on the supplier’s policies, and service charges may apply.
2.4. No refunds will be given for unused services once the trip has commenced.

3. Travel Documents and Requirements

3.1. It is the traveler’s responsibility to ensure they have valid passports, visas, health certificates, and other required travel documents.

3.2. The company is not responsible for any losses incurred due to failure to obtain the necessary travel documents.
3.3. Travelers must comply with all destination-specific health and safety regulations.

4. Changes and Amendments

4.1. The company reserves the right to modify itineraries, accommodations, and other arrangements due to unforeseen circumstances.

4.2. If changes are necessary, reasonable efforts will be made to provide similar alternatives.
4.3. Any additional costs incurred due to changes made by the traveler will be the traveler’s responsibility.

5. Liability and Responsibility

5.1. The company acts as an intermediary between clients and third-party suppliers (airlines, hotels, tour operators, etc.) and is not liable for any losses, injuries, accidents, delays, or damages caused by these third parties.

5.2. Travelers are responsible for their personal safety, belongings, and adherence to local laws during the trip.
5.3. Travel insurance is strongly recommended to cover unexpected circumstances.

6. Force Majeure

6.1. The company is not liable for delays, changes, or cancellations due to natural disasters, political unrest, pandemics, or other unforeseen events beyond its control.

7. Privacy Policy

7.1. Personal information is handled in accordance with the applicable privacy policy. By using the services, you consent to the collection and use of your data as described.

8. Governing Law

8.1. These Terms and Conditions are governed by the applicable laws of the relevant jurisdiction. Any disputes shall be resolved in the appropriate legal venue. 

General Booking Terms and Conditions

(Please read carefully)

(1) Booking: All booking for the tours /treks are made with Himalayan Frontiers, herein after referred to as ‘the company’ and are subject to the following conditions:

(1-1) the person signing the booking form accepts these conditions and is hereafter referred to as the client.

2. To book a trip: To book a trip complete and sign the booking form and post or mail to the company with your deposit of 30% of the total amount by bank transfer or by payment Online through the site : www.himalayanfrontiers.com. . Acceptance of the clients booking will be confirmed in written. The balance is to be paid 30 days before the scheduled departure.

3. Bank charges: while paying by bank transfer or credit card, the bank charges will be borne by you is applicable sub. to the policies of your bank and online banking. 

Any expanses occurred due to failure and reattempt of wire transfers or pay by credit card remains at your charge.

4. Cancellation: All the cancellation must be in written and signed by the person who signed the booking form and will be effective from the date of the reception by the company.

(4-1) 60 days or more before departure: The agency will refund the entire paid amount to his client deducting the registration fee (€ 40 per persons or equivalent in other currency), bank charges subject to the bank policies, when booking domestic flights, the Cancellation fee subject to airline policies at present or if the tickets are non- refundable in that case the full amount of the ticket will be retained. The hotels are reserved and must be paid in advance; the company will apply the cancellation policies of hotels. Cancelation charges of train tickets and other ground transport and related services if needed to be booked in advance. Hence the remaining amount will be refunded after deducting all above expanses following cancelation policies applied for different services.

(4-2) 40 Days before departure: The agency will refund the 50% of paid amount to his client deducting the registration fee (€ 40 per persons or equivalent in other currency), bank charges subject to the bank policies, when booking domestic flights, the Cancellation fee subject to airline policies at present or if the tickets are non- refundable in that case the full amount of the ticket will be retained. The hotels are reserved and must be paid in advance; the company will apply the cancellation policies of hotels. Cancelation charges of train tickets and other ground transport and related services if needed to be booked in advance. Hence the remaining amount will be refunded after deducting all above expanses following cancelation policies applied for different services.

(4-3) Less than 30 days before departure: The agency will be obliged to withhold the full amount of the deposit paid by the customer. In this case, the customer must inform their insurance as soon as possible and provide as much documentation to support the cancellation of trip. It is therefore strongly advised to take out cancellation insurance to cover such expenses.

(5) Sur charges on modification of booked services: 

Please note that any modification of the booked services is subject to extra charge.

Before departure or during the trip if guest wish to change and replace the confirmed booking / reservation of hotels, flights, train tickets or any related services of trips are subject to surcharge and are bear by the guest, however for the pre-trip cancelation and modification of booked services please read the booking terms and conditions.

(6) Prices: Price shown are valid for 8 days from the date of the proposal. After this period, all prices are subject to change due to fluctuations in the exchange rate of currencies. To ensure the indicated price and availability, it is advisable to confirm the booking as soon as possible.

(6-1): All prices are subject to change according to fluctuations in exchange rates until full payment of the balance of the trip is not paid. If, between the time of booking (when the company receives proof of payment of advance) and that of the client's arrival in India, there is a gap exceeding above 2% of exchange rate  between Euro / Rupee Or / Rupee / US$ or to other currencies, The agency reserves the right to modify the proposed prices of trek / tours or related  services accordingly.

(7) Liability: The Company cannot be made liable for the consequences of weather condition, flight cancellations, war or threat of civil war, strikes, industrial action, political unrest or any other force majeure, unusual or unforeseen circumstance. The company reserves the right to use alternate transport, or vary the itinerary if breakdown, sickness or any other force major. Any additional that result, such as extra hotel accommodation, flight or road transport will be on your charge and must be paid directly at the spot.

(7-1): Please understand, there are certain hazards involved in your adventurous and culture holidays which you must accept at your own risk. The company will not be liable for any illness major or minor injury, death sustained during neither the trip, nor it will be liable for any uninsured losses of your property and other losses during the trip.

It is strongly advised that clients take out insurance to cover the unexpected and cancellation charges:

(8) Travel insurance: This is mandatory for all clients travelling on any tour/ trek or independent itinerary arranged by us. You are responsible for obtaining adequate insurance covering expenses of unexpected as mentioned in liability paragraph number 7th, the loss of baggage, medical expenses, helicopter (air or ground) rescue, injury, death, repatriation, cancellation of  train , flights and curtailment of the itinerary.

(8-1) Are those expenses reimbursed by your insurance company? 

Kindly consult your insurance agent if you are reimbursed those expenses occurred due to political unrest, threaten of civil war, threat of terrorism, earthquake, fire, cancelation or delay of train, flight or any other circumstances, which are not taken in charge by your insurance company, therefore are advised to take the alternative insurance to recover above said expenses.

(9) Passport, visa and vaccination: All clients must possess a valid passport and obtain any necessary visas, permit and vaccination certificates required for their specific travel arrangements.

(10) The company right: The company reserves the right to alter details of the services, facilities, tour/ trek and vehicle described in the itinerary at any time, when deemed necessary, reasonable and advisable.

(11) Refund policies: Those who cancel their trip, following the terms and conditions norms as per the time period we will refund the advance payment made to book the trip or if entire payment is paid by deducting the applicable taxes as of GST, bank charges, file charges and other applicable taxes and charges. For foreign client’s differences of currency buying has to be borne as per the present exchange rates.

(11-1) For foreign nation participants additional charges will be add on to buy the foreign currency, (hence buying the currency charges has to be borne by clients) bank transfer (wire transfer) charges and other administrative paperwork to be completed which is quite long exhausted process, we request you to understand and co-operate with. We will do our best possible to deal such cases respecting the present circumstances.

 

(11-2) To avoid all those administrative processes, we request our guest to postpone their trip. Those who agree to them we propose a voucher equivalent of remaining amount left deducting the cancelation amount following the cancelation policies. Please note that tariff of postponed trip is subject to change in case of economical fluctuation, hike of the taxes, local life and if the association of transport (ground or aerial, hotels, porters, guide, mule and other related service providers hike the prices of their services to be rendered to the clients during the trek/ tours, As the association their decision is evitable and considered legitime, hence we request clients to avid by this.

(11-3) No refund will be made for any unused services included in the tour / trek cost. No refund will be payable to any client who voluntarily or obliged to leaves or quit the trip due to determent behaviour to other participants en route. In such case clients will be accompany (or arranged the minimum of services- assistant) till the nearest city -town (destination) to ease the further trip to back home. Clients are responsible to bear their additional expenses of such as escort, transport, hotels and other related services occurred due to such circumstances.

(11-4)  Those who quit the trip due to his / her determent behaviour to others participants of group, the staff members ( team leader) and  to local community, wish not take any additional services- assistant ( bear by his/ her own expenses)  from the company to the nearest town-city to get the best mode of  related services to continue his / her further trip, will be asked to write a letter of quitting ( leaving) the trip due to his / her determent behaviour to other and he / she is leaving the trek/ tours with his/ her consent, he /  she will not hold  the company for any refund,  in case of any misshape since he / she quite  the trip, he /she is sole responsible for any matter arise till he/ she reach back home, will not hold  the company for any juridical process and  lose the right of refund.

(11-5) Due to his / her determent behaviour if the safety of the group / staff, team leader is found insecure by mentally, morally or physically harassment, if found disrespecting and criticising the local culture which hurts the sentiments and pride of the communities, if such matters arise, he /she can be governed by and construed in accordance with the local jurisdiction. If he / she found not respecting jurisdiction process and leave the area / country without completing the legal process will be considered fugitive, can be detain at the place / airport or can be banned his/her future entry to the respected area / country.

Please note that, Himalayan Frontiers has no right to intervene (will not intervene) in such process driven under government control by concern authorities, If he she found guilty can be penalised under Indian penal code.  All expenses arise following above process will be borne by the client (s) who will be found guilty and shall be paid on the spot.  

(12) Decision of Tour / trek leader or Guide: Client agree to accept the authority and the decision of the tour/ trek leader or escort appointed by the company whilst on tour with the company. If in the opinion of the tour/ trek leader, any client’s behavior is detrimental to the safety, welfare or harmonies state of the group as a whole, the client may be asked to leave the tour / trek without the any right of refund and all extra expenses cause will be on his / her charge.

(13) Relief in booking terms and conditions: These booking conditions may only be waived till certain limit in a special circumstance by a letter from the company director.

(14) Jurisdiction: The contract between and any matters arising from it will be governed by and construed in accordance with the jurisdiction of the law courts in Manali (India)

(15) Abide by the booking terms and condition: When making your booking it is implied and accepted that you have read and understood all these booking conditions and are agree to abide by them.
